Assistant - Private Infrastructure Europe team

As an Assistant in our Private Infrastructure Europe team in Zug, you will help ensure the team operates smoothly and efficiently day to day. You’ll be a key partner in supporting the coordination of schedules, travel, meetings, and internal processes, helping the team stay focused on execution. This is a hands-on role in a fast-paced, international environment where reliability, discretion, and strong organization make a real impact.
Responsibilities:
- Manage calendars across internal and external meetings, conferences, and calls; coordinate changes and logistics proactively
- Coordinate international and domestic travel bookings (Concur and external agency), prepare itineraries and logistics in Outlook, and support visa application steps as needed
- Process expense reports in Concur accurately and on time
- Maintain and update internal data and contact information in Outlook and internal systems (e.g., DealCloud)
- Review advisor invoices and support payment processing through Purchase Orders (POs) in line with internal processes
- Support event and conference coordination, including catering arrangements and restaurant reservations as required
- Coordinate interview scheduling for the team and support candidate logistics in partnership with HR Recruitment
- Coordinate and attend Investment Committees and Business Unit meetings, including agenda preparation and meeting logistics
- Demonstrated administrative support experience in a professional environment (~5 years) within a medium to large corporate setting, or comparable high-service experience
- Relevant degree and/or qualified certifications, or equivalent practical experience
- Proficient with MS Office (especially Outlook, PowerPoint, Excel) and demonstrated ability to learn new tools quickly (e.g., Concur, DealCloud)
- Strong organizational skills with demonstrated ability to multi-task, prioritize effectively, and meet deadlines under pressure
- Professional, service-oriented communication style suited to a client-facing environment
- Excellent written and verbal communication skills
- Demonstrated ability to handle confidential and sensitive information with discretion
- Collaborative mindset and dependable team approach
