Partners Group is seeking a highly skilled and dedicated individual to join our Client Solutions and Private Wealth teams in Hong Kong as the team’s Assistant. Partnering with many of the world’s largest private institutional investors, Partners Group’s Client Solutions and Private Wealth teams deliver the full breadth of Partners Group’s private markets product capability to these firms and their clients and provides ongoing product and advisor support, as well as education and training around alternatives.
Duties and responsibilities:
• Supporting a team of professionals in the Client Solutions and Private Wealth teams in Hong Kong. Collaboration with other APAC, US, European teams
• Managing calendars including scheduling appointments, confirming meetings, coordinating with other assistants
• Collaborate with marketing colleagues on events, on-site or off-site
• Coordinate senior management visits in close cooperation with other locations and support respective visitors if/when needed.
• Explore/highlight cost-efficient ways to manage assigned responsibilities (e.g. travel arrangements, visitor meetings/hosting, procurement of hotels in SE Asia).
• Booking conference rooms for internal and external meetings; meeting and greeting guests, registering in visitor’s system
• Completing detailed expense reports including tracking receipts and project budgets
• Coordinating travel arrangements including flights, visas, cars, hotels, and other reservations
• Tracking and processing invoices; ensure invoices go through outlined internal approval procedures.
• Entering and maintaining contacts in Outlook
• Working on various ad-hoc projects
• Minimum of 5 + years of administrative support experience working in a professional environment for a medium to large corporate entity, including support for management
• High integrity with the ability to perform duties with the highest level of confidentiality
• Superior organizational and time management skills
• Meticulous attention to detail and accuracy on work deliverables
• Strong verbal and written communication skills in English
• Ability to work efficiently in a high-pressure deadline-driven environment
• Highly driven and proactive with the ability to take initiative
• Able to manage multiple projects simultaneously
• Ability to work independently in a team‐oriented environment
• Able to develop strong working relationships with colleagues, teams, and vendors
• Proficient in MS Office Suite, and demonstrated ability to quickly pick up new software and systems
• Professional attitude with a friendly, outgoing demeanor to support client-facing department; enthusiastic team player contributing to strong administrative support team
