What it's about

Will be responsible for general office administration and maintenance, phone coverage, support of Management, Markets and Private Real Estate Investment professionals in all their functions as well as local HR, bookkeeping and 1st level IT support.


For this challenging position, we are looking for a team player with proven organizational skills who is reliable, detail-oriented and willing to learn. Ideally, you have already gained at least five years of professional experience in a similar position and a good command of Microsoft PowerPoint, Excel and Word. Furthermore, you show responsibility for the own work areas and you have the ability to work by your own and as part of a team in a small office.


What we expect


General Office Administration & Management

  • Responsible for overseeing office of 85 (and growing) employees and working with Office Leadership to implement strategy and vision of the firm
  • Manage two full time receptionist and one facilities coordinator – responsible for welcoming and customer care of visitors as well as telephone, mail, general office administration
  • Serve as key liaison for vendor relations, including existing food and beverage programs, stationary and office supplies, and building management
  • Supervise the maintenance of office equipment, including coffee machines, appliances, and lounge activities
  • Point of contact for property landlord and facilities operations including securing access cards, freight operations, building requests and small repairs
  • Support marketing and client acquisition activities including
  • Co-ordinate sensitive HR administration and assist in the onboarding process for new hires
  • Support IT department where necessary
  • Planning of internal and external meetings across multiple time zones
  • Provide limited administrative support as required to Office Leadership Work with global Office Management Team and ensure information flow and best practices
  • General office duties, monitoring housekeeping standards and maintenance needs
  • Oversee consistent inventory and per employee cost oversight
  • Assist and participate as needed in ad hoc activities and special projects with various departments
  • Office expansion or relocation project management experience a plus
