We are seeking an exceptional Executive Assistant to support a key executive team member and coordinate activities for one of our private equity verticals. The ideal candidate is a high-energy professional who thrives in fast-paced environments, expertly manages complex priorities, and proactively anticipates needs. This role requires someone who can autonomously build relationships with senior stakeholders while delivering efficient, solution-oriented support across our teams.
Key Responsibilities:
- Proactively manage complex schedules, prioritize meeting requests, and ensure executives are optimally prepared for all engagements
- Independently manage GIC and IC meetings including preparation of agendas, materials, follow-up items, and action tracking
- Anticipate needs, remove obstacles, and serve as a strategic thought partner to executives
- Coordinate comprehensive international and domestic travel arrangements using Concur and external agencies, including detailed itineraries, logistics in Outlook, and visa applications
- Process expense reports using Concur, review advisor invoices, and manage payment processes through e-procurement systems
- Maintain and enhance relationships with internal and external stakeholders, serving as the primary point of contact for the executive team
- Maintain and update critical internal data and contact information in Outlook and internal databases (Primera Connect)
- Lead planning and execution of strategic events, conferences, and executive meetings
- Coordinate executive-level interviews and candidate management in partnership with HR Recruitment
- Screen communications, handle sensitive inquiries, and draft correspondence on behalf of executives
- Provide strategic backup to other administrative professionals and support team initiatives
- Minimum of 7 years of executive administrative support experience, specifically supporting C-suite executives and senior leadership in medium to large corporate environments
- Bachelor's degree or equivalent professional experience
- Expert proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) with demonstrated ability to quickly master new software platforms and digital tools
- Exceptional organizational skills with meticulous attention to detail and ability to prioritize competing demands
- Strong anticipatory thinking - ability to proactively identify needs and implement solutions before issues arise
- Excellent time management skills with proven ability to manage complex calendars, coordinate high-level meetings, and handle sensitive communications
- Demonstrated discretion and confidentiality when handling sensitive information
- Adaptable problem-solver who thrives in fast-paced environments
