Team Assistant - Portfolio Solutions Department

What it's about

 

Responsibilities:

  • Assist Heads of Portfolio Management with their daily organizational tasks. Additionally, support broader senior leadership team in the Department (including support for the Quantitative & Risk Management team)
  • Responsible for the Global Portfolio Committee, GPC (preparing the packages, agendas, submissions etc.)
  • Handling several GPC tasks (sending out overviews, update submissions etc.)
  • Prepare Investment Advice / Divestment Advice and Replacing Investment Advice for Portfolio Solutions Department (including arrange approvals and submit them in the Portfolio Management Tool)
  • Responsible for onboarding of New Joiners within the Department (e.g. arrange IT equipment's, grant access rights, arrange welcome meetings etc.)
  • Calendar management of internal and external meetings, conferences, and calls
  • Assist with events and offsites organization and coordination
  • Coordinate international and domestic travel bookings, using Concur and with an external agency; prepare itinerary and logistics in Outlook and process expense reports
  • Prepare presentation materials and documents for meetings (including packages for internal committees), assemble and print meeting agendas and hand-outs
  • Maintain, file and execute contracts
  • Maintain and update data in internal databases and systems

 

What we expect

 

  • 1-2 years of administrative support experience working in a professional environment for a medium to large corporate entity, including support for executive and senior management
  • Proficient in MS Office Suite, and ability to quickly pick up new skills related to new applications
  • Ability to work proactively, handle a large number of tasks while meeting deadlines, and perform well under pressure
  • Organized with high attention to detail
  • Professional attitude with a friendly, outgoing demeanor and enthusiastic team player contributing to strong administrative support team
  • Proficient English in writing and speaking
