We are seeking a dynamic and highly organized professional based in Singapore to primarily support Partners Group’s Chief Operating Officer. This role goes beyond traditional executive assistance, offering proximity to leadership and involvement in initiatives that impact global stakeholders.
You will work alongside the broader management team, handle complex tasks, and coordinate projects, while enhancing your professional growth in project management and organizational dynamics.
Key Duties & Responsibilities:
- Executive Support: Manage the COO’s and Unit Heads' calendar, scheduling meetings, coordinating travel arrangements and processing expense claims.
- Communication Liaison: Act as the primary point of contact between the COO and various stakeholders, including board members, executives, and external partners.
- Document Management: Prepare, edit, and finalize reports, presentations, and other critical documents for meetings and strategic discussions.
- Events: Organize and manage events, overseeing logistics and budgets.
- Management Reporting: Monitor key performance indicators and prepare management reports that provide insights for assessment and decision making.
- Projects: Assist in planning and execution of key projects, tracking progress and deadlines to ensure successful outcomes.
- Confidentiality and Discretion: Handle sensitive information with utmost confidentiality and professionalism.
- Meeting Preparation: Organize and prepare for meetings, including setting agendas, taking minutes, and following up on action items.
- Perform other administrative duties as necessary
This role is essential for enhancing the COO's productivity and ensuring the smooth operation of the executive office within the global organization. The ideal candidate will provide administrative management support and contribute meaningfully to operational and strategic initiatives.
- Experience: Several years in a high-level administrate support role within a global or corporate environment, preferably in banking and finance. Project coordination or management experience is highly desirable.
- Education: Background in business administration or a related field is preferred
- Technical Proficiency: Strong proficiency in office software (e.g., MS Office Suite), project management tools, and virtual collaboration platforms.
- Communication Skills: Excellent verbal and written communication skills, with the ability to engage effectively with all levels of the organization.
- Organizational Skills: Strong organizational skills and attention to detail, with the ability to manage multiple priorities and deadlines.
- Cultural Awareness: Ability to work in a diverse, multicultural environment and adapt to various time zones and working styles.
- Problem-Solving Skills: Proactive and resourceful, with strong analytical and problem-solving abilities.
